How this calculator works
Formula
Annual hours = working hours per week × working weeks per year. Loaded hourly cost = annual compensation × (1 + employer uplift ÷ 100) ÷ annual hours. Meeting cost = meeting hours × attendee count × loaded hourly cost in blended mode, or meeting hours × the sum of individual loaded hourly costs. Annual cost = meeting cost × meetings per week × recurrence weeks per year.
Worked example
For six attendees averaging $80,000 annually, 40 hours per week, 52 working weeks, a 30% employer uplift, and a 60-minute weekly meeting across 52 weeks, loaded hourly cost is $50 per attendee, the meeting costs $300, and the annual recurring estimate is $15,600.
Assumptions to verify
- Salary and uplift values are user-entered planning assumptions; verify what compensation and employer costs should be included for your organization.
- Meeting time is treated uniformly for every attendee and excludes preparation, follow-up, opportunity cost, and any value created by the meeting.
- Working weeks used for salary conversion and recurrence weeks are separate editable inputs because paid work-year assumptions may differ from the meeting schedule.
