Worked example: a fence quote from a three-line list
Say a contractor enters two lines: Fence panels,12,45 and Labor day,3,250. The parser reads each line as description, quantity, unit price, and multiplies: 12 x $45 = $540 for materials, and 3 x $250 = $750 for labor. The subtotal is $540 + $750 = $1,290.
With an 8.5% sales tax rate, the tax line is $1,290 x 0.085 = $109.65, so the total estimate is $1,290 + $109.65 = $1,399.65. A 30% deposit suggestion then lands at $1,399.65 x 0.30 = $419.90 after currency rounding (the exact value is $419.895).
Two details matter. First, tax is applied after the full subtotal, not per line, so mixing taxed goods and untaxed labor is a simplification, not a rule. Second, the deposit is computed on the tax-inclusive total; some contractors quote deposits on pre-tax work, which would give $609 less wait no, $1,290 x 0.30 = $387 instead of $419.90, a $32.90 gap worth stating in your terms.
Where flat-rate item lines break down
The one-line-per-item format has no quantity units, so 12 means 12 units, not 12 hours at $45 unless you write the unit into the description. It also cannot express tiered pricing: a line like Gravel load,3,180 at a volume discount of $150 per load past two must be entered as two separate lines (2 x $180 and 1 x $150) or the estimate overstates by $30.
Blank or malformed lines fail silently toward zero rather than erroring: a line missing a price becomes qty 1 at $0, and a typo like 1o instead of 10 becomes quantity 1. On a quote with 15 lines, one dropped digit at $85 can quietly understate the total by $765, so check each line total in the output against your napkin math before sending anything.
Finally, tax and deposit are global percentages. Line-level tax exemptions, per-trade markups, and hourly running totals (hours clocked so far times rate) all need to be folded into the item lines by hand before the generator sees them.
